# Kintone vs. Smartsheet: A Better Spreadsheet or a Connected Record?

What do you do when your operations team outgrows its spreadsheets?

The tracker has too many tabs, the approvals live in email, and the weekly meeting starts with people reconciling their versions of the same list. The shortlist is down to two names: Kintone and Smartsheet.

Both can run recurring operational work. Both handle forms, approvals, automation, dashboards, and permissions. That overlap is why they end up on the same shortlist, and it is also why a feature checklist will not separate them. Line up the checkmarks and the two tools look close to equivalent.

What separates them is architecture. Smartsheet enhances and scales the spreadsheet model: work lives in sheets made of rows, columns, and cells, and Smartsheet adds automation, reporting, and premium extensions on top. Kintone replaces the spreadsheet model with connected records: work lives in apps made of structured records that link to records in other apps.

For some teams, a better spreadsheet is the right answer. For others, the architecture drives the decision, because choosing the wrong model can mean rebuilding later. This comparison is organized around one question: does your operation need a more capable version of the sheet you already know, or a system where records from different teams connect to each other?

## **How Each Tool Positions Itself**

Each vendor's self-description matches its data model.

Smartsheet calls itself an[AI-enhanced, enterprise-grade work management platform](https://www.smartsheet.com/content-center/news/blackstone-and-vista-equity-partners-complete-acquisition-smartsheet). Its[pricing page](https://www.smartsheet.com/pricing) frames the product around managing "projects, programs, and processes," and its plan features lead with Gantt, grid, board, and calendar views, cross-sheet formulas, dependencies, workload tracking, and portfolios.

Kintone describes itself as a[customizable workplace platform](https://www.kintone.com) for keeping a team's workflows, data, and AI in one place. Its plan features lead with application building, process management, related records, and lookup fields. The emphasis is on structured data and the processes that move it, rather than on schedules and plans.

Neither description is a capability verdict. Smartsheet can run operational processes, and Kintone can track projects. The positioning tells a buyer where each product starts: Smartsheet from the sheet and the plan, Kintone from the record and the process.

## **Where the Differences Become Operationally Meaningful**

The difference in data model shows up when the work needs to connect to other work, when approvals carry consequences, and when more teams start depending on the same information. A demo of one workflow rarely reveals it.

### **The unit of work: a row or a record**

Is Smartsheet a database or a spreadsheet? Its core unit is the sheet. A sheet holds rows and columns, supports cell and column formulas, and links to other sheets through[cross-sheet formulas, cell linking, and column links](https://www.smartsheet.com/pricing). Reports can pull rows from multiple sheets into one view. Each sheet holds up to[20,000 rows](https://help.smartsheet.com/articles/2482500-datatable-faq). In grid view a sheet is also capped at 500,000 cells, so a wide sheet reaches its limit before 20,000 rows. For a team that thinks in spreadsheets, this model is familiar. Familiarity makes adoption easier, and it also makes it easier to rebuild the same oversized, multipurpose sheets that caused the problem.

Kintone's core unit is the record inside an app. Each app defines its own fields, and records in one app can reference records in another through[lookup fields and related records](https://www.kintone.com/en-us/pricing/). A product record can link to its raw materials, and a volunteer record to a project. A[related records field](https://us.kintone.help/k/en/app/form/related_records/whats_relatedrecords) lists matching records from another app with their current values. A lookup copies values into the record when it runs, and those copies[need to be updated](https://us.kintone.help/k/en/trouble_shooting/app_qa/update_lookup_data) if the source record changes later.

Each Kintone app holds up to[50,000 records by default](https://help.kintone.com/k/en/admin/limitation/limit.html), and teams that need more can contact Kintone support about raising the limit. Smartsheet measures capacity in cells and Kintone in records, so the two figures are not directly comparable: a single Kintone record holds many fields.

IMURAYA USA, a food manufacturer in Irvine, California, shows what that difference means in practice. Before Kintone, its product information, raw material data, and quality inspection records lived in[separate Excel, Word, and PDF files on a shared server](https://www.kintone.com/en-us/customer-stories/imuraya/), and cost data was not linked to raw material or product information. After moving to Kintone, product specification sheets link directly to raw materials and suppliers, and cost calculations are checked against raw material specifications. The company also needed to maintain its SQF (Safe Quality Food) certification, and during audits the team can now search product and raw material information on the spot.

IMURAYA came to Kintone from files and folders, so its story says nothing direct about Smartsheet. The relevant point for this comparison is what the team needed once it left them: records that could be related through shared keys and viewed together, instead of staff reconstructing those relationships across separate files.

### **When data has to connect across teams**

Smartsheet connects sheets through built-in cross-sheet formulas, cell links, column links, and reports, and those cover many cross-team needs. For larger scale, it adds separately licensed extensions.[DataMesh](https://www.smartsheet.com/pricing) maps data between sheets.[DataTable](https://help.smartsheet.com/articles/2482384-about-datatable) holds up to 2 million rows and pushes subsets one way into connected sheets.[Control Center](https://www.smartsheet.com/product/control-center) provisions standardized projects from blueprints, and[Bridge](https://help.smartsheet.com/articles/2481970-bridge-smartsheet-integration-overview) connects Smartsheet to other systems. Most are add-ons on Business or Enterprise, and DataTable is included only in the[Advanced Work Management plan](https://www.smartsheet.com/pricing).

In Kintone, apps whose records reference each other are part of the core model. Oregon Coast Community Action (ORCCA), a community action nonprofit, ran its South Coast Food Share program on Excel spreadsheets and a paper sign-in notebook. An earlier Access database[eventually broke](https://www.kintone.com/customer-stories/oregon-coast-community-action-orcca/). In Kintone, Program and Operations Director Laura Hunter built three apps that work together: a projects app, a volunteer database that connects each volunteer to a project, and an hours tracker that pulls volunteer details from the database. She set permissions so volunteers can enter data without being able to delete it, and built 25 apps in the first month.

Kintone has its own boundary here. Process management, trigger-based notifications, reminders, and action buttons are native. For more complex automation across apps or with external systems, buyers may need Kintone's[JavaScript customization, REST API, webhooks, or add-ons](https://www.kintone.com/en-us/pricing/). A buyer planning heavy cross-app automation should test how each step is built. Connected records also move some of the work into design. Someone has to decide which app owns each value, when a lookup should copy data, and who changes a process once it is live.

### **Approvals and multi-step processes**

Can Smartsheet handle multi-step approval workflows? Yes. Smartsheet[approval requests](https://help.smartsheet.com/articles/2479276-request-approval-from-stakeholders) are automation actions triggered by row criteria. They can request approval from multiple people in a set order, pause the workflow until a decision, and write the result to an approval status column. Approval requests are available on every plan, though Pro is capped at[250 automation runs per month](https://www.smartsheet.com/pricing). For more complex processes, Smartsheet points buyers to Bridge.

In Kintone, the process is a property of the app rather than an automation attached to a row. Kintone's[process management](https://www.kintone.com/en-us/pricing/) defines statuses, assignees, branch criteria, all-or-any approvals, and a status history for each record. Every record carries its own position in the process and its own audit trail.

Both approaches work on a clean request. The more useful test is what happens after one fails. Bring your own approval chain to both demos, run it through a rejection, a reassignment, and a change to the source data after approval, then ask each vendor to add a new approval step to the live workflow. Watch where the state, the rules, and the history end up.

### **How does Kintone pricing compare to Smartsheet?**

Smartsheet lists [Pro at $9USD per member per month billed yearly (12 monthly](https://www.smartsheet.com/pricing) for 1 to 10 members, and Business at 19permemberpermonthbilledyearly(24 monthly) with a 3-member minimum. Enterprise and Advanced Work Management are custom-priced. Pro is available to new customers only. Smartsheet's pricing has an advantage for organizations with many light participants: Contributors, who can view, comment, submit forms, and respond to update requests, are free on every plan, and Business adds free external Guests. Premium capabilities cost extra on most plans. Dynamic View starts at $125 per month, Data Shuttle at $100 per month.

Kintone publishes[one Professional subscription at $24 per user per month](https://www.kintone.com/en-us/pricing/), with a 5-user minimum ($120 per month) and all listed features included. It also offers special pricing for 501(c)(3) nonprofits, education, and government organizations. Third-party plugins are priced by their developers.

The cheaper option depends on who needs access. Price both plans for today's users, then again for the requesters, approvers, and reviewers who would join as adoption expands.

## **Smartsheet May Be a Better Fit If**

Smartsheet is the stronger choice when the work is shaped like a plan and the team already thinks in spreadsheets.

Your core work is projects and programs with schedules, dependencies, and baselines, and you need Gantt, timeline, and workload views as everyday tools. Your team is fluent in spreadsheets and wants a more capable version of that model rather than a new one. Many of the people involved only need to view, comment, submit forms, or respond to update requests, so Smartsheet's free Contributor role keeps costs down. Or your organization is standardizing a large portfolio of similar projects, and Control Center's blueprint provisioning matches how you work.

Is Smartsheet good for workflow management? Yes. Smartsheet supports sequential approvals, condition-based triggers, notifications, update requests, and other automated actions around sheet-based work.

## **Kintone May Be a Better Fit If**

Kintone is the stronger choice when the work is shaped like connected records and processes that cross teams.

Your data belongs to related things that need to stay linked, such as products, materials, suppliers, volunteers, projects, and hours, the way IMURAYA's specifications link to raw materials and ORCCA's volunteers link to projects. Your processes need defined statuses, assignees, branching, and a status history on each record. You want record relationships and process management as part of the platform's core model, rather than relying on premium extensions for higher-scale cross-sheet data and portfolio needs. Or the people who run the process need to build and change apps themselves, as ORCCA's program director did.

Is Kintone or Smartsheet better for nonprofits? It depends on the work. A nonprofit tracking interconnected volunteers, programs, and outcomes fits the record model, and Kintone publishes a dedicated Nonprofit subscription. A nonprofit mainly scheduling events and campaigns with many light participants may get more from Smartsheet's plans and free roles. For manufacturing, the same logic applies: specification, supplier, and quality records that must stay linked for audits favor Kintone, while production project schedules favor Smartsheet's planning tools.

## **Which Architecture Fits the Operation You're Running?**

Both tools run recurring work, so the choice comes down to what your work is made of. Plans and schedules point to Smartsheet. Connected records moving through processes that cross teams point to Kintone.
