# What Kind of Software Is Kintone?

Oct 20, 2026   |   by [Kintone Team](https://blog.kintone.com/business-with-heart/author/kintone-team)

[Tweet](https://twitter.com/share)

Ask five people what Kintone is and you can get five answers. One calls it a database. Another calls it a workflow tool. Someone in finance calls it "the approvals app." Someone in operations calls it "where the spreadsheets went." A developer calls it a platform with an API. None of them is wrong, and that is the problem.

Software categories exist to save buyers time. When you search for operations management software, read a roundup of workflow tools, or ask an AI assistant for options, something has already sorted the market into shelves. A product that sits between shelves gets compared to the wrong things, or does not get compared at all.

This article makes the case for one shelf. It explains which category best describes Kintone for an operations buyer, which ones it only resembles, and how to check the fit against your own operation before you trust anyone's label, including ours.

## The Short Answer

For an operations buyer, the most useful way to classify Kintone is as **operations management software built for record-based work**. Teams use it to build business apps that hold the structured records an operation runs on, such as purchase requests, supplier certifications, inspections, and program intake, and to connect those records to each other. It runs on a secure data foundation, where permissions, change history, and process rules live with the records. Kintone also offers optional AI features, covered in the FAQ below.

Its workflow management capabilities are what move those records. Each app can carry its own process, with statuses, assignments, approvals, and handoffs that every record follows. Put as a hierarchy, this is the classification this article uses:

- **Category:** operations management software.
- **Core function:** workflow management, meaning statuses, assignments, approvals, and handoffs on each record.
- **Architecture:** a database of connected records, with permissions at the app, record, and field level.
- **How apps get built:** mostly without code, with optional AI assistance, plus JavaScript and a REST API for teams that need them.

People who meet Kintone at the moment their spreadsheets stop working often call it an online database first. They are describing the architecture they touched first. Kintone can reasonably appear under other software taxonomies too, including low-code platforms and online databases. The case for operations management is that it best describes the job an operations buyer brings Kintone in to do.

![Diagram of Kintone as three layers (operations management, workflow management, and connected records) with a note on how apps are built, and five common descriptions of Kintone each pointing to the layer it describes.](https://blog.kintone.com/hs-fs/hubfs/Blog%20Files/kintone-category-hierarchy-operations-workflow-records.webp?width=1672&height=941&name=kintone-category-hierarchy-operations-workflow-records.webp)

## Why Kintone Is Hard to Put in One Box

Most software categories assume a product has one primary job. A project management tool manages projects. A CRM manages customer relationships. A spreadsheet holds numbers in a grid. Kintone takes another approach: it gives teams building blocks and lets them assemble the job.

Those blocks are an app (a structured database with a form), a process (the statuses and assignees a record moves through), permissions (who can see and change what), and a place to talk about the work. One company assembles them into a purchase request system. Another builds a supplier certification tracker. A third builds a client intake log for a nonprofit program. Each team then names Kintone after the thing it built.

That is why outside descriptions vary so much. Review sites and integration directories have called Kintone a teamwork platform, an all-in-one workplace platform for building custom workflows, and a customizable workflow management platform. Even a single publication can shelve it two ways: The Digital Project Manager's [standalone review](https://thedigitalprojectmanager.com/tools/kintone-review/) describes Kintone as project management software, while the same site's [workflow roundup](https://thedigitalprojectmanager.com/tools/best-workflow-apps/) lists it as a workflow app. [Kintone's own homepage](https://www.kintone.com/en-us/) calls it a customizable workplace platform with built-in AI. Each label is accurate about one part. None of them tells a buyer which shortlist Kintone belongs on.

The label matters more than it used to. Buyers now meet software through category searches, roundup articles, review sites, and AI assistants, and all four sort products before a person ever reads a product page. If the sorting is wrong, the right product never reaches the comparison.

## Kintone as Operations Management Software

Operations management software has no single agreed definition. Vendor guides use the term for everything from agency resource planning to production scheduling. For the kind of operations work Kintone supports, the relevant layer is recurring records and processes: requests, inspections, approvals, supplier records, intake, and handoffs that happen every week rather than once. That recurring quality is also what separates this work from a project, which has a start and an end.

Roundups of the best operations management software tend to mix very different tools. One useful way to read them, and this is our framing rather than an industry standard, is by what each tool treats as the unit of work:

- **Work management platforms** such as monday.com, Asana, and Smartsheet, which organize tasks, boards, and schedules.
- **Industry or function suites** such as Productive, which connects budgeting, resourcing, and time tracking for agencies.
- **Record-based platforms** such as Kintone, Zoho Creator, and Knack, where the unit of work is a structured record rather than a task card.

In Kintone, the unit is the record, and you can see that in how the product behaves. Every app holds structured records. Each record carries its own status, assignee, comments, and change history, and each user's portal shows the records waiting on them. The practical difference: a task tool answers "what do I need to do next?" A record-based tool also answers "what is true right now?" Is this supplier's certification current? Which purchase requests are waiting on finance? What did the inspector note on the last visit? Operations managers spend much of their week answering that second kind of question, usually by asking people or opening five files.

![Side-by-side comparison of one purchase request as a task card pointing to outside files, and as a single record holding its own status, owner, history, and link to a supplier record.](https://blog.kintone.com/hs-fs/hubfs/Blog%20Files/task-card-vs-connected-record-purchase-request.webp?width=1672&height=941&name=task-card-vs-connected-record-purchase-request.webp)

Imuraya USA, a food manufacturer in Irvine, California, is a clear example. The team had kept product information, raw materials, and quality inspection records in Excel, Word, and PDF files on a shared server. It moved them into Kintone partly to keep up with SQF (Safe Quality Food) certification requirements, which call for well-managed specifications and quality assurance records. According to a [case study published by KDDI America](https://us.kddi.com/en/resources/casestudy/case-imuraya/), the team could then show auditors product lists, raw material lists, and records right away during its SQF audit.

The same shape of work shows up outside manufacturing. [LiveWell Colorado](https://www.kintone.com/en-us/customer-stories/livewell-colorado/), a statewide nonprofit focused on healthy eating and active living, says information silos were its primary challenge before Kintone. It now uses Kintone to manage many of its outreach programs and to run regional reports that assess each program's impact.

In healthcare, [Zoom Counseling & Rehab](https://www.kintone.com/en-us/customer-stories/zoom-counseling/) is a Dallas counseling center with four office staff, 32 counselors, and more than 600 clients. Its office manager, who oversees schedules, client records, and reporting, used to print 627 pages every week, one for each client. She now describes Kintone as the office's "one-stop shop." The team's stated next step is a scheduling app that would move nearly all office operations onto Kintone, with billing staying in a separate system.

In each case, several people relied on the same records, and those records had been scattered across files, paper, or separate systems.

Kintone is not a full operations suite for every function. It does not do agency resource planning or time-based billing the way Productive does, and it is not an ERP. Its role is the layer of recurring processes and records that sit between those systems and the people doing the work. For a fuller checklist of what that layer has to handle, see our guide to [what operations management software should actually do for a growing company](https://blog.kintone.com/business-with-heart/what-operations-management-software-should-do-for-a-growing-company).

## Workflow Management: How Kintone Moves Records

What is workflow management software? It is software that defines how a piece of work moves from start to finish: who acts at each step, what they are allowed to do, what happens next, and what record is left behind. A purchase request, an onboarding checklist, a corrective action, and a grant report are all workflows. The software replaces the email chain and the "did you approve this yet?" message with a visible path.

Three terms get used almost interchangeably here, and it helps to separate them:

- **Workflow management software** routes work between people and tracks where each item stands.
- **Workflow automation software** moves data between systems with little or no human involvement, often through triggers and connectors.
- **Business process management (BPM) software** models, measures, and optimizes processes across a large organization, usually with dedicated process owners.

Kintone's workflow features fit the first description: they route work between people and show where each item stands, with enough automation to remove routine handoffs and without the modeling overhead of enterprise BPM.

In Kintone, the workflow is a property of the app. Its [process management feature](https://help.kintone.com/k/en/user/app_settings/process/requiredsettings_process.html) combines three settings: a status for each stage, an action that moves a record to the next status, and an assignee who is allowed to take that action. Actions can depend on field values, so a request over a set amount can route to a different approver. When a status has several assignees, you choose whether one approval or all approvals move it forward. Every user's Kintone portal then shows how many records are waiting on them in each app.

![Flow diagram of a purchase request moving through four statuses, with actions between steps, an assignee under each status, a branch that adds an approver for high-value requests, and one step that requires all assignees to approve.](https://blog.kintone.com/hs-fs/hubfs/Blog%20Files/kintone-process-management-approval-workflow.webp?width=1672&height=941&name=kintone-process-management-approval-workflow.webp)

This is where the record-based design pays off. The approval is not a separate task pointing at a spreadsheet row somewhere else. It is the record itself, carrying its own status, its comments, and its change history, which lets users with edit rights view and restore earlier versions.

Independent reviewers have filed Kintone here too. The Digital Project Manager's [roundup of the best workflow apps](https://thedigitalprojectmanager.com/tools/best-workflow-apps/), updated September 30, 2026, lists Kintone as best for building workflow apps. Capterra includes Kintone in its [workflow management software category](https://www.capterra.com/workflow-management-software/).

There is an honest trade-off. Because you design the process rather than pick a template, setup takes thought. Kintone's own help center says process management settings can be complicated and recommends [mapping statuses, assignees, and actions on paper](https://help.kintone.com/k/en/user/app_settings/process/design_process.html) before configuring anything. The optional [AI Process Creator](https://www.kintone.com/en-us/features/ai-lab) shortens that step: you describe the process in plain language, it suggests a workflow based on the app's settings, and you apply it with one click. You still own the design. For a full evaluation checklist, see our guide on [how to evaluate workflow management software for an operations team](https://blog.kintone.com/business-with-heart/how-to-evaluate-workflow-management-software-for-an-operations-team).

## Why Kintone Can Look Like a Spreadsheet Database

Most teams do not go looking for operations software. They go looking for relief from a spreadsheet: the shared workbook that started as a simple list and now has twelve tabs, three people who "own" it, and a version called FINAL\_v4 in someone's inbox. That is one point at which teams may begin evaluating a more coordinated system, and it is why the first label people reach for is "spreadsheet database."

### Is an Excel spreadsheet a database?

Not in the way that matters for shared operational work. A spreadsheet can hold a table of records, and for one person tracking one list, that is often enough. But [Microsoft's own guidance on choosing between Access and Excel](https://support.microsoft.com/en-us/excel/using-access-or-excel-to-manage-your-data) notes that Excel does not support relational data, so it cannot enforce referential integrity, and it points to a database when the goal is data integrity across many users. A spreadsheet is a calculation grid that can store a list. A database is built to protect the list.

### Why databases work better than spreadsheets for concurrent use

Modern Excel supports co-authoring, so simultaneous editing is not really the issue. The issue is what each person is allowed to change and what record is left behind. In a shared sheet, anyone with edit rights can overwrite any cell or delete a row nobody notices is gone. A database-backed system controls that by design. Kintone sets permissions at three levels, the app, the record, and the field, and each record keeps its own change history. That is one reason organizations prefer databases over spreadsheets: the data stays trustworthy when many people touch it.

### How to switch from spreadsheets to a database

It goes better as a series of small moves than as a migration project. Most teams start with the one spreadsheet that gets emailed most, import it as an app, split any list they keep retyping into its own connected app, and then add the process and permissions. Excel stays useful for analysis; the database holds the records.

The first app can look like a cleaner spreadsheet. The operations value shows up when the second and third apps start pointing at each other, which is the point where a spreadsheet database becomes operations software.

![Before-and-after diagram showing a spreadsheet with repeated supplier details becoming separate Orders, Suppliers, and Inspections apps linked to each other.](https://blog.kintone.com/hs-fs/hubfs/Blog%20Files/spreadsheet-to-connected-records-orders-suppliers-inspections.webp?width=1774&height=887&name=spreadsheet-to-connected-records-orders-suppliers-inspections.webp)

## Kintone Among Online Database Software

If you shop for online database software, you will meet Kintone's closest relatives: Airtable, Baserow, Zoho Creator, Knack, Tadabase, Podio, and others. [Zapier's roundup of the best database-powered app builders](https://zapier.com/blog/simple-database-app-builders/), updated in July 2026, describes this group as a middle path. Spreadsheets are easy but limited. Traditional databases are powerful but expect you to write queries. These tools give you structured data, filtered views, forms, and simple apps without requiring code.

That description fits Kintone's database layer. One useful way to compare tools inside the group, and again this is our lens rather than a market category, is by what each product makes easiest first:

- **Spreadsheet-first tools** such as Airtable and Baserow start from a grid that feels familiar and add views, interfaces, and automations on top.
- **App-builder-first tools** such as Zoho Creator and Knack lean toward building custom applications and portals, sometimes for external users.
- **Process-first tools** such as Kintone assume the data belongs to a team process. Statuses, assignees, record-level and field-level permissions, change history, and discussion threads are built into the same app as the data.

None of these is the right answer for everyone. A solo analyst who wants the most flexible grid may prefer a spreadsheet-first tool. An operations lead who needs a purchase request to carry its approval path, its permissions, and its audit trail is the buyer a process-first design is built for.

### Is Kintone a no-code database?

Yes, in the sense that most teams build their apps without writing code, using drag-and-drop forms, Excel imports, templates, or the optional AI App Creator, which suggests an app name and fields from a plain-language description. But "no-code" describes how you build, not what you get. Kintone also supports JavaScript customization and a REST API for teams that need them, and its more important trait for operations work is governance: who can see each record, who can change each field, and what happened to it over time. That is what we mean by a secure data foundation.

The same foundation is what makes Kintone's AI features practical. AI Search builds chatbots that answer questions from the data in selected apps, and it generates answers based on each user's permissions, so people only see information they are already allowed to view. AI on top of an ungoverned spreadsheet has no such boundary to respect.

### Is Kintone good database software for small business?

It depends on what "small" means in your case. Kintone fits best when a business has several people or teams working on the same records: an operations team and a finance team sharing purchase requests, or a quality team and a production team sharing inspection records. A very small business with one person tracking one list often does fine with a spreadsheet or a lighter tool. The trigger is not headcount. It is the moment shared records and handoffs start breaking.

If you arrived here comparing Airtable alternatives specifically, our comparison of [Kintone and Airtable for manufacturing operations](https://blog.kintone.com/company-news/kintone-vs.-airtable-for-manufacturing-operations) shows how the two differ when the work runs on shared records.

## What Kintone Is Not

Several nearby categories share vocabulary with Kintone but set very different expectations, and it is better to know that before a demo than after.

| Workflow automation software that moves data between apps with no human step | An integration platform such as Zapier, n8n, or Microsoft Power Automate | Kintone runs the human side of a workflow. It has connectors for platforms like Power Automate and Workato, so the two often work together. |
| Enterprise business process management software | A BPM suite built for process modeling and optimization across a large enterprise, with dedicated process owners | Kintone handles departmental and cross-team processes without a process modeling office. |
| A no-code app builder for a customer-facing product | A web or mobile app builder such as Bubble or Adalo | Kintone is primarily designed for internal business applications and team workflows rather than public consumer applications. |
| An Excel alternative | Another spreadsheet application | If you want a better grid, choose a spreadsheet. Kintone is for when the grid has become a shared system of record. |
| A CRM for sales pipelines and marketing | A dedicated CRM | Kintone can handle client management for a specific function, such as intake or account tracking, but it is not a sales or marketing CRM suite. |
| An AI database for developers | A vector database or AI-native data platform | Kintone's AI features work on the business records your teams already keep in it. |

The BPM row deserves one more word. Kintone is not positioned as enterprise BPM software. BPM suites are built around organization-wide process modeling and optimization; Kintone is built for teams creating and running operational applications and workflows.

## How to Check the Fit Yourself

You should not take a vendor's word for its own category, and that includes this article. Here is a practical way to check where Kintone, or any tool on your list, actually belongs.

1. **Read roundups for their method, not just their rankings.** Lists like The Digital Project Manager's workflow apps roundup and Zapier's database app builders roundup both publish how they test, and both disclose that they may earn commissions. That does not make them wrong. It means the method section tells you more than the order.
2. **Read reviews from people in your role.** [G2](https://www.g2.com/products/kintone/reviews), [Capterra](https://www.capterra.com/p/143607/kintone/reviews), and Gartner Peer Insights let you filter by company size and industry. Look for reviews that describe the process someone replaced, not just the interface.
3. **Read practitioner threads.** Communities such as Reddit's [r/projectmanagement](https://www.reddit.com/r/projectmanagement/) are where operations people describe what broke before they switched and what still annoys them after. Those threads are often more useful than any feature list, including ours.
4. **Ask AI assistants, then check their sources.** If you ask an assistant what kind of software a product is, look at what it cites. An answer built on one vendor's page or an outdated directory is a starting point, not a verdict.
5. **Run one real process through the tool.** Pick a process with exceptions: a purchase request that sometimes needs a second approver, or an inspection that sometimes fails. Build it in a trial and watch where the data, the rules, and the conversation end up living. That single test tells you more about a tool's real category than any label.

If the process ends up as connected records moving through a governed path, you are looking at operations management software with workflow management at its core. If it ends up as tasks on a board pointing at files somewhere else, you are looking at something closer to project management.

## Frequently Asked Questions

### What kind of software is Kintone?

For operations buyers, Kintone is best described as operations management software for record-based work, built on a secure data foundation with optional AI features. Its workflow management capabilities route those records through statuses, assignments, approvals, and handoffs. Underneath is a database of connected records with app, record, and field permissions.

### Is Kintone workflow management software?

Yes. Each Kintone app can carry its own process, with statuses, actions, and assignees that every record moves through, including conditional routing and single or group approvals. The Digital Project Manager lists Kintone among the best workflow apps for building workflow apps, and Capterra includes it in its workflow management software category.

### Is Kintone operations management software?

Yes, for the recurring records and processes an operation runs on, such as purchase requests, supplier certifications, inspections, and program intake. Customers in manufacturing, nonprofit work, and healthcare use it this way, from Imuraya USA's quality records to LiveWell Colorado's program reporting and Zoom Counseling's office operations. It is not an ERP or an agency resource-planning suite.

### Is Kintone a database?

Kintone is built on a database, and each app works as a structured database with a form, views, and permissions. Most people describe it as a database when they first move from spreadsheets, but the workflow, permission, and collaboration layers are what make it operations software rather than a database alone.

### What is Kintone an alternative to?

Teams most often bring Kintone in to replace shared spreadsheets and email-based approvals. Among software, it is commonly compared with Airtable, [Smartsheet](https://blog.kintone.com/business-with-heart/kintone-vs.-smartsheet-a-better-spreadsheet-or-a-connected-record-system), Quickbase, Zoho Creator, and monday.com.

### Is Kintone a no-code platform?

You can build Kintone apps without code, and many teams do. Kintone also supports JavaScript customization and a REST API. "No-code" describes how many Kintone apps are built. The broader category used here is operations management software, with workflow management as a core function.

### Does Kintone include AI?

According to [Kintone's AI Lab page](https://www.kintone.com/en-us/features/ai-lab), Kintone AI is an optional feature available to paying customers. Its features include AI Search, AI App Creator, AI Process Creator, AI Thread Summary, and AI View Analysis, and AI Search answers are based on each user's permissions.

### Who makes Kintone?

Kintone is developed by Cybozu, a Tokyo-based software company founded in 1997. The Kintone platform launched in 2011.

## The Right Shelf

The five people from the opening were each describing a real part of Kintone. The database is the architecture. The approvals are the workflow function. The place where spreadsheets went is the operations layer those two serve: recurring records, governed by permissions and history, moving through steps people complete together.

That matters because of what the product was built for. Kintone comes from Cybozu, a company whose stated purpose is teamwork, and the design shows it. The record, the process, and the conversation live together because the work is done by several people at once, not by one person in one file.

So if you are building a shortlist of operations management software, or workflow tools for record-heavy processes, Kintone is worth testing against it. If your shortlist is made of spreadsheets, automation connectors, or app builders for public products, it probably is not the right fit, and the table above explains why. Either way, run one real process through it before you trust the label.
